This page explains what Mindmap Teams does with your data when you join a workshop.

Legal basis: we process your data on the basis of your consent (GDPR Art. 6(1)(a)). You can withdraw that consent at any time — see section 4.

1. What we process

While you participate, we process your microphone audio stream, the transcript generated from it, and the first name you provide. No video, no location, no tracking cookies.

2. Where we process it

• Deepgram EU (Frankfurt) — speech-to-text.
• Daily EU (Frankfurt) — real-time audio room.
• Anthropic — transcript summarisation. This runs via a global endpoint, which may involve a transfer outside the EEA; the transfer is covered by a Data Processing Agreement with Standard Contractual Clauses.

3. How long we keep it

Audio is never stored — only the transcript. Workshop duration + 30 days log retention, then deleted. Sub-processors apply their own retention terms, documented in their DPAs.

4. Your rights

You have the right of access, deletion, and objection.

Withdrawal (Art. 7(3)). Email gdpr@mindmap.team with the workshop name and the first name you used; we delete your transcript segments and consent rows within 30 days. A self-service “delete my data” button will follow once each participant has a stable identity.

Exception for billing records (Art. 17(3)(b)). Invoices and VAT records are subject to a 7-year statutory retention obligation under Dutch tax law. Erasure of this data is not possible during that period because the processing is required for compliance with a legal obligation (GDPR Art. 17(3)(b)). This exception applies only to subscribers; participant workshop data is not affected.

5. Version + date

This text carries the version shown at the top of the page. When you give consent on a workshop join, we record in our database which specific version you accepted. Earlier versions remain available on request via the mailto above.
